Manage who can sign in, what they can see, and what they can do. Create or invite users, assign roles and positions, then configure access using the permission matrix and permission catalog.

End-to-end workflow

  1. Create or invite a user

    Open the User directory and use the create action. Fill in name and email, then send the invitation. The new user receives a link to set their own password.

  2. Assign role and position

    After the user is created, assign their role (what they can do) and position (where they sit in the org). Both together determine which modules and actions they can reach.

  3. Configure the permission matrix

    In Settings → Permissions, map roles and positions to modules and actions. Use the permission catalog to pick from predefined entries. Changes take effect immediately.

Common use cases

  • Onboarding a new employee

    Create the user, assign the correct role and position, then verify they can reach the right modules before their first day.

  • Role change or promotion

    Edit the user's role and position. Adjust the permission matrix for the new role if needed. There is no need to delete and recreate the user.

  • Offboarding and deactivation

    Disable the user to revoke access immediately. Records and audit history are preserved; use deactivation rather than deletion.

Practical tips

  • Roles define functional access (allowed actions); positions define organizational context (reporting lines, document routing). Set both correctly from the start.

  • Review the permission catalog before creating custom entries — common access patterns are already defined and maintained.

  • Deactivate rather than delete users who leave. Deletion removes them from history; deactivation keeps the audit trail intact.

Screens and confirmations

  • User list and user detail

    Browse all users from the directory. Open a record to see contact info, role, position, and status. Use filters to find inactive or unassigned users quickly.

  • Create and edit

    The create form validates required fields on save. The edit overlay lets you update role, position, and contact details in place.

  • Permission matrix and catalog

    Found in Settings. The matrix maps roles and positions to modules and actions; the catalog lists individual permission entries you can add or remove.
